NetCIL User Privilege Levels

CFAL and NetCIL use a 10-level user privilege scheme that allows access to software, database, and reporting functions.  The levels 1-6 are intended to be assigned to front-line staff members, and levels 7-10 are for supervisory staff.  The following table describes each of the currently-utilized levels and their capabilities (note that not all levels are listed; some are reserved for future use):

If a custom application is installed, it’s assumed that it will handle its own security scheme; thus no restrictions are placed on this function’s use.

Delete Records

Only level 10 users can delete records from the People form; level 8 users can delete records from sub forms; levels 1-7 can delete records that they have written.

Documents

Only level 10 users can use the form hyperlink to access the folder where documents are located. All other users must manage documents via the Documents form.

Edit All Records

5, 6, 8

User levels 1-4 can only edit records which they have entered. Level 5 is required to edit basic demographics entered by other users on the People form. Level 5 can change “Contact Type” on the People form only for those records that they “own” (“Staff” dropdown box on the People form). Level 6 is required to take “ownership” of a record or to change “Contact Type” of a record on the People form that has been entered by other users. Level 8 is required to edit records that have been entered by other users on all other forms. On the People form, the edit status of a record will be indicated in the lower left corner below the user’s name. On all other forms, edit status will be indicated by the Delete button. If delete is disabled (greyed out), editing is not enabled. If the user has sufficient privilege, pressing the F3 function key will unlock the record for editing. In such cases the Delete key will be enabled.

Privilege level 1 can only access a single form (usually the People form), which must be assigned in the database users section of NetCIL Manager.

“Action” queries can quickly alter large amounts data; therefore only trusted users should be granted this privilege level.

Level 8 or higher is required to run reports on other (or all) staff members.

User Knows Best

If “User Knows Best” is not selected, users will have to press the F3 function key to unlock existing records for editing. Note that level 6 users cannot edit other users’ records; a minimum privilege level of 8 is required. Level 6 users cannot set User Knows Best themselves; The setting must be accomplished by someone with Level 10 privileges via NetCIL Manager Config…Database Users or the query Config Database Users in NetCIL Client.

Work Log

Privilege level 9 or higher is required to view other users’ work log records and to configure Community Activities.

NetCIL IRLog

No restrictions are currently placed on the use of IRLog; therefore, it’s recommended for use only by users with privilege level 5 or higher. Records cannot be deleted within the IR Log application.
